General Statement of Job
To support the assigned department and work directly with the department head on coordination of department program activities.
Description of Duties and Tasks
Essential duties and responsibilities include the following. Other duties may be assigned.
Arranges and coordinates assigned activities, as needed.
Advises students on various aspects of the program such as majors, course selection, transferability, and prerequisite for degree plans.
Distributes and tracks student paperwork, as required.
Maintains communications with department chair and faculty in the department.
May assist with creation and maintenance of departmental and/or instructional websites.
Depending on department, may address student issues arising from field observation requirement. Forwards such issues to Department Chair as needed. Meets with students on a one-to-one basis when necessary, to resolve problems with field observations.
Depending on department, may coordinate placement and scheduling of Austin Community College (ACC) students in public schools for required observations. Maintains telephone and email correspondences with ISD partners, ACC faculty, and students. Prepares and forwards all necessary documentation and background check information to participating school districts for placement.
Depending on department, may serve as a liaison between ACC and independent school district personnel. Establishes and maintains new partnerships for field observation placements. Assists with college and department related outreach and networking.
Depending on department, may Initiate, assist, and maintain communication with public school officials and administrative staff regarding school visitation portion of Coordinating Board requirements for ACC education courses.
May oversee work of hourly employees.
Additional Job Specific Duties
Student case management: maintains persistent contact with the Visual Communication students in person, via email and phone to ensure completion and increase student success.
Serves as first point-of-contact for students who have questions and issues and re-directs them to the appropriate resource.
Performs data collection, tracking, organizing, and reporting on student enrollment, activities and participation on a regular basis. Presents summary reports to departmental stakeholders. Compiles reports for the college: annual reports, data, information to dean and others.
Assists with office management processes, including maintaining and updating records and files and submitting reports as needed.
Develops and maintains a communication plan to engage with stakeholders and promote the department. Methods include writing and coordinating marketing materials, using social media, and updating information and stories on the website.
Maintains departmental communication with students via email updates and e-newsletters, using tools such as MailChimp or Constant Contact. Coordinates communication with students about with students about experiential learning opportunities such as workshops, internships, coops, apprenticeships and job placement.
Promotes the department by attending and presenting to groups at job fairs, high school outreach/recruiting events, advisory committee meetings, and professional association meetings. Hosts student tours and visitors to the department.
Coordinates and facilitated department events (such as student shows, talks, and student club activities), including marketing, outreach, invitation, promotion, and purchasing.

Required Work Experience
Two years related work experience.
Preferred Work Experience
Experience performing core and/or additional job specific duties at a college or university.
Demonstrated proficiency at an intermediate level using standard office software such as: Microsoft Office or Google Suite tools.
Experience with software for the educational sector, such as the Ellucian or Workday suite of enterprise resource planning, constituent relationship management, and SQL based analytics and reporting software.
Background in advising, counseling, or marketing.
Experience writing marketing or promotional materials, feature stories, or similar.
Experience with email management software such as MailChimp or Constant Contact.
Experience using a CRM or database to track customers, clients, or students.
Bachelor’s degree in on the following: counseling, marketing, communications, graphic or visual design, or related field.
A criminal background check may be conducted if this position requires public school visitations.
Valid Texas Driver’s License and reliable transportation may be required if position will involve travel between ACC campuses and local public school districts.
Other Preferred Qualifications
Existing relationships with the graphic or visual design, or user experience workforce in Austin.
Work is performed in a standard office or similar environment.
Subject to standing, walking, sitting, bending, reaching, pushing, and pulling.
Occasional lifting of objects up to 10 pounds.
